Job Description


The Operations Coordinator – MOC will support the effective administration of the Management of Change (MOC) process and Safety Management System (SMS), ensuring documentation and management system processes remain aligned with ISM, ISO, and regulatory requirements. The role involves document control, MOC coordination, SMS software administration, user support, publishing, and coordination with internal stakeholders.

The role will support the maintenance and continuous improvement of the organisation's management system by coordinating documentation changes, administering SMS workflows and user access, supporting ship and shore users, and ensuring timely publication and distribution of approved documents and notices.

Key Responsibilities

  • Support the Management of Change (MOC) process for management system documentation.
  • Log change requests and provide MOC reference numbers to requestors.
  • Verify and research change requests with document authors and owners before peer review.
  • Review documents for correct formatting, grammar, spelling, terminology, language, and style.
  • Update MOC information in relevant databases and ensure MOC requirements are fulfilled.
  • Implement approved document revisions and maintain document version control.
  • Publish and track fleet notices, organisational charts, newsletters, and other publications.
  • Coordinate the design and layout of revised hard-copy materials such as posters and logbooks.
  • Track distribution of company notices and follow up on outstanding confirmations.
  • Provide guidance to document authors, owners, reviewers, and other internal stakeholders on document control matters.
  • Provide training on management system software to administrative, ship, and shore users when required.
  • Support Quarterly Management Reviews by providing required data and updating assigned materials.
  • Support the compilation of quarterly management reviews.
  • Update the JHA database within risk assessment and permit-to-work files.
  • Upload, publish, and archive SMS documents in accordance with approved MOCs.
  • Maintain SMS workflows, forms, and user access in coordination with relevant system teams.
  • Provide first-line support to ship and shore users and coordinate unresolved issues with IT and system vendors.
  • Test system changes before implementation and support migration of records from legacy systems.
  • Treat safety and environmental compliance as a key priority across all activities.

Requirements

  • Qualification in IT, Information Systems, Business, Maritime Studies, or relevant administrative experience within the marine industry.
  • Minimum 1 year of relevant experience preferred.
  • Fresh graduates with an IT background may also be considered.
  • Strong analytical, problem-solving, time-management, project-management, and decision-making skills.
  • Good teamwork, interpersonal, and communication skills.
  • Ability to respond effectively and professionally to internal customers and users.
  • Proficiency in Microsoft Office and Adobe applications.
  • Experience with database management and administration of business software, including user access and workflows.
  • Strong Microsoft Excel skills.
  • Ability to train and support non-technical users.
  • Experience with fleet management systems will be an advantage.
  • Knowledge of technical writing, publishing, and the marine industry will be an advantage.
